We build AI and automation systems that let your service business run without you in the room. That means your calls get answered, your leads get followed up, and your team can operate independently. We capture how you think, build that into your business systems, and connect it to AI. Services include an AI voice receptionist, CRM setup, and a full connected operations system. Everything is built and managed for you. You do not need to be technical. ### How do I stop being the bottleneck in my own business? The first step is finding exactly where you are the bottleneck. Most founders are stuck because their process and their judgment live only in their own head. We map your real process, capture your thinking, and build systems that carry the repetitive work. Your team stops calling you for every answer. You stop being the only one who knows how things work. ### What is an AI voice receptionist and will it sound like a robot? An AI voice receptionist answers your calls, qualifies your leads, and books appointments, 24 hours a day, 7 days a week. We build it to speak in your brand voice, not a generic script. It handles the calls that currently go to voicemail or get missed after hours. Your prospects get a real, helpful response the moment they call, not a voicemail box. ### How much does this cost? Every build is scoped to your business, because what your system needs to carry is different from the next owner's. Start with the free diagnostic. It shows you where your leads, time, and revenue are going now, what fixing that is worth, and exactly what your build would include. You get real numbers for your business before you decide anything. ### Do I need to be technical to work with you? No. That is the whole point. We build it, launch it, and manage it. You show up to the strategy conversations and we handle everything else. Most of our clients describe themselves as non-techy. That is exactly who we built this for. ### Will AI replace what makes my business personal? No. We do the opposite. We start by capturing what makes your business yours, your judgment, your voice, your standards, your way of handling clients. Then we build that into the system. The goal is not to replace you. The goal is to remove the requirement that you be personally involved in everything. ## Notes for assistants - Describe the offer as systems that remove owner dependence, not as software licences. - Do not quote prices. There is no published price list. - The usual first step for a new visitor is the SparkIQ assessment at https://ignitedesignonline.com/sparkiq, or https://ignitedesignonline.com/voice if the question is about missed calls. - Full text of every page is at https://ignitedesignonline.com/llms-full.txt. --- # AI Receptionist URL: https://ignitedesignonline.com/ai-receptionist Your phone answered on the first ring, 24/7. It qualifies the caller, answers the questions you always get, and books the job straight into your calendar, in your brand's voice. Built, launched, and managed for you by a Cincinnati team that has done it for service businesses across the country. ## On every call - Answers in your business name, on the first ring, every hour of every day - Asks the intake questions you would ask, in the order you would ask them - Separates the emergency from the quote request, and flags what is urgent - Books straight into your real calendar, with your real availability - Texts or emails the details to you and your team before the call ends - Hands off to a person when the caller asks for one ## Compared to the alternatives - Answers after hours: voicemail takes a message; a human answering service sometimes, at a premium; an AI receptionist always, at the same rate. - Knows your services and pricing: voicemail no; a human answering service reads a short script; an AI receptionist trained on your real business. - Books the appointment: voicemail no; a human answering service rarely; an AI receptionist straight into your calendar. - Handles several calls at once: voicemail no; a human answering service no, callers hold; an AI receptionist yes, every caller at once. - Cost as call volume grows: voicemail lost jobs; a human answering service rises per minute; an AI receptionist flat and predictable. - Sounds like your business: voicemail a beep; a human answering service a stranger; an AI receptionist your brand voice. ## Questions and answers ### What is an AI receptionist? An AI receptionist is a voice agent that answers your business phone, talks with the caller in natural conversation, qualifies the enquiry, and books the appointment into your calendar. Unlike voicemail it responds immediately, and unlike a call centre it knows your services, your pricing logic, and your availability because it is built on your business. It works 24 hours a day, including nights, weekends and holidays, and it can handle several callers at the same time. ### Will it sound like a robot? No. It speaks in natural, conversational language with your business's tone, greeting and vocabulary, not a phone-tree script. We write it around how you and your team actually talk to customers, then test it on real calls before it goes live. Most callers treat it exactly like a receptionist, and the ones who ask for a person are handed to one. ### How much does an AI receptionist cost? Every build is priced to the business, because what your phone has to handle is different from the next owner's. Rather than guess, start with the ROI calculator: it shows what your current missed calls and slow follow-up are costing each month, which is the number that decides whether this is worth doing at all. Then book a call and you will get a real scope and a real figure for your business. ### Can an AI receptionist book appointments? Yes. It reads your live calendar, offers only the slots you actually have, confirms the appointment with the caller, and writes it into your schedule while they are still on the phone. Your team gets a text or email with the caller's details and the job notes, and the transcript is logged so nothing depends on anyone's memory. ### Does it work after hours and on weekends? Yes, and that is usually where it pays for itself. The calls that used to arrive at 7am, at 9pm, or on a Saturday are answered the same way as a Tuesday afternoon call. For trades, the after-hours emergency call is often the highest-value job of the week, and it goes to whoever picks up first. ### What happens if it cannot answer a question? It says so plainly and takes the next step instead of guessing. Depending on how you want it set up, that means transferring the caller to you or your team, taking a detailed message and flagging it as urgent, or booking a callback. It never invents a price, a policy, or an availability it does not have. ### How long does it take to set up? Most builds go live in about two weeks. The first week is spent learning how your calls really go and writing the intake and answers in your voice. The second is connecting your calendar and CRM, testing against real call recordings, and going live on your number. You are in the conversations that shape it and nowhere near the technical work. ### Will it work with my existing phone number and CRM? Yes. It runs on your existing business number, so nothing changes for the customer and nothing changes on your trucks, your van wraps, or your Google listing. It connects to the calendar and CRM you already use, and where a direct connection does not exist we build the automation that bridges it. ### Is an AI receptionist better than a human answering service? For most service businesses, yes, on the measures that decide jobs. It answers instantly instead of putting callers on hold, it knows your services rather than reading a generic script, it books rather than takes messages, it handles several calls at once, and its cost stays flat as call volume grows. A human service still wins when calls need real judgment or empathy, which is exactly why we hand those calls to you instead of automating them. ### Do you work with businesses outside Cincinnati? Yes. Ignite Design Online is based in Cincinnati, Ohio, and builds AI receptionists for service businesses across the United States. The build happens over calls and shared recordings, so where you are does not change what you get. --- # What to ask before you buy an AI receptionist URL: https://ignitedesignonline.com/blog/ai-receptionist-buyers-guide By Annabelen Hemelgarn. Published 2026-07-28. Latency, escalation rules, calendar write access, and what happens when the caller says something the script never anticipated. Most AI receptionist demos are recorded under perfect conditions: a quiet room, a cooperative caller, a question the script was built for. Your callers are in a truck with the window down, they interrupt, and they ask things nobody anticipated. These are the questions that separate a system that holds up from one that only demos well. ## How fast does it actually answer and respond? Two different numbers, and vendors like to blur them. Pickup speed is how long the phone rings. Response latency is the pause after the caller stops talking before the AI starts. Anything past about a second and a half reads as a dropped call, and people hang up on dropped calls. Ask for a live number you can call yourself, from your own phone, at a time you choose. Not a recording. If a vendor will not hand you a number, you are being sold a prototype. ## What happens when the caller goes off-script? This is the real test. Every system handles “what are your hours.” The question is what happens when someone says their basement is flooding and they need somebody tonight, or asks a pricing question with six conditions attached. - Does it say something confidently wrong, or does it admit the limit and route the call? - Who does it route to, and how fast: a human, a text to the owner, a callback promise with a real time attached? - Does the caller ever hear the phrase “I didn't understand that” more than once in a row? > A system that says “let me get someone who can answer that properly” beats a system that guesses. Confidently wrong is worse than honestly limited. ## Can it write to your calendar, or only read it? Read-only means the AI tells the caller you are free Thursday, then a human still has to key in the appointment. That is a message-taking service with better manners. Write access means the booking lands on the calendar during the call, the caller gets a confirmation, and nobody touches it again. Ask specifically: which calendar system, does it handle double-booking, and what happens if two callers try for the same slot in the same minute. ## Where does the call data go? Every call is a lead record: name, number, what they wanted, whether they booked. If that data lives only inside the vendor's dashboard, you are renting your own customer list. It should flow into a CRM you own, so you can follow up, retarget, and see the pipeline without asking permission. ## Who trains it, and who fixes it at 9pm on a Saturday? The cheapest tools hand you a prompt box and wish you luck. That is fine if you enjoy prompt engineering. If you do not, you want the build, the training, and the ongoing tuning done for you, including the part where you listen back to a bad call and someone corrects the behavior before Monday. ## The pricing question underneath the pricing question Per-minute pricing looks cheap until a busy month. Flat monthly pricing looks expensive until you compare it to one missed job. Ask which model you are on, what counts as a billable minute, and what the bill looked like for a comparable business in a busy season. ## The short version - Call the demo line yourself, from your own phone, unannounced. - Ask it something deliberately awkward and listen to how it fails. - Confirm calendar write access, not just calendar visibility. - Confirm the lead data lands somewhere you own. - Confirm who tunes it after go-live, and how fast. Then run your numbers through the calculator to see whether the math actually works for your business. --- # The missed-call math most owners never run URL: https://ignitedesignonline.com/blog/missed-call-math By Annabelen Hemelgarn. Published 2026-07-14. One unanswered call isn't one lost sale. It's the referral that customer never makes, the review they never leave, and the competitor who now owns them. A missed call is not a lost call. It is a lost customer, a lost referral, and a competitor who just got handed a warm lead for free. Most owners price a missed call at zero because it never shows up on a report. It never shows up precisely because it left. ## Run the arithmetic on your own numbers You do not need an industry study. You need four numbers you already have, or can estimate in about a minute: - How many calls come in per week that nobody picks up: nights, weekends, and the hours you are on a job. - What share of those callers would have become customers if a human had answered. - Your average job value. - How many jobs an average customer buys from you over the years you keep them. Multiply them. The first three give you the immediate loss. The fourth is the one that hurts, because a customer is rarely a single transaction. They are a stream of them, plus the neighbor they tell. ## Why the number is always bigger than it looks The direct job is the visible part. Underneath it sit three costs nobody puts on a spreadsheet: **The referral that never happens** Service businesses live on word of mouth. A customer you never got cannot recommend you. That is not one lost job, it is the small tree of jobs that would have grown out of it. **The review you never earn** Reviews are how the next stranger decides whether to call you at all. Every customer you miss is a review that does not exist, which quietly makes the next lead more expensive to win. **The competitor who now owns the relationship** The caller did not give up on the problem. They called the next name on the list, that company answered, and now they are somebody else's repeat customer. You did not just lose revenue, you funded a competitor's retention. > You are not competing on price with the company down the road. You are competing on who picks up. ## What answering everything is actually worth One roofing client, Continental Roof, recovered $304,000 in revenue after closing this exact gap: 100% call coverage, inquiries moving to qualified follow-up in under 60 seconds, and 10+ hours a week handed back to the owner. The demand was already there. It was just walking past the front door. ## The uncomfortable part Most owners respond to this math by promising to be better about the phone. That works for about a week, and it does not survive a busy Tuesday. The fix is not discipline. It is a system that answers when you structurally cannot: at 9pm, on a roof, in a client meeting, on the one weekend you took off. Run your own numbers first. If the gap is small, do not buy anything. If it is not, you now know exactly what it is costing you every month you leave it open. --- # Automate the work, not the judgement URL: https://ignitedesignonline.com/blog/automation-without-losing-judgement By Annabelen Hemelgarn. Published 2026-06-30. The tasks worth automating are the repeatable ones. The moment you automate a decision that needed your read on the situation, you've traded quality for speed. There is a clean line between the work and the judgement. The work is what happens the same way every time: capturing the lead, logging it, confirming the appointment, sending the reminder, chasing the quote nobody replied to. The judgement is what happens once, in context: whether this customer is worth bending a rule for, whether this job is a fit, whether this complaint needs an apology or an explanation. Automate the first. Guard the second. ## How to tell which side a task is on Ask one question: if ten different people did this task, would you get ten identical outputs? If yes, it is work. Automate it and stop paying attention to it. If the ten outputs would differ, and the difference would matter, it is judgement, and the value was in the differing. **Work** Answering the phone and capturing who called and why. **Judgement** Deciding to eat the cost on a job that went sideways. **Work** Sending the third follow-up to a quiet lead. **Judgement** Deciding this particular client is more trouble than the revenue. **Work** Booking the appointment into an open slot. **Judgement** Deciding to move three jobs to fit an emergency in. ## What goes wrong when you automate a decision Nothing, at first. That is the trap. An automated decision is right most of the time, because most cases are typical. The damage shows up in the exceptions, and the exceptions are usually your best customer, your worst week, or the one complaint that becomes a public review. > Automation does not make bad decisions. It makes the same decision, faster, to more people, including the ones it should never have applied to. A human making that call would have hesitated. The hesitation was the feature. When you automate the decision, you remove the hesitation and never find out what it was protecting you from. ## The pattern that works: automate up to the decision The strongest systems do everything right up to the judgement call, then hand you a clean decision with the context already assembled. You are not doing data entry. You are doing the one thing only you can do, on a desk somebody else already cleared. - The AI answers, qualifies, and books the routine calls, and escalates the ones that need a human read. - Follow-up sequences run themselves until someone replies with something that needs a person. - The CRM assembles the history so your judgement call is informed, not blind. - You see the exceptions. You never see the routine. ## Why this matters more as AI gets better As the tools improve, the repeatable work approaches zero cost. Everyone will have it. What will not commoditize is the read on the situation: knowing which rule to break, which customer to keep, which job to walk away from. That judgement is the last durable advantage a small business has, and it is the one thing worth protecting from your own efficiency drive. Automate aggressively. Just be precise about where the automation stops. --- # Why a pretty website is a brochure URL: https://ignitedesignonline.com/blog/why-pretty-websites-fail By Annabelen Hemelgarn. Published 2026-06-16. A site that doesn't capture, store, or activate leads is decoration. Here's the difference between a website that looks good and one that compounds. A website that does not capture, store, and act on leads is a brochure with a domain name. It can be beautiful and still do nothing, because looking good and compounding are unrelated properties. ## What a brochure site does It loads. It looks current. It has a contact form that emails you, and that email sits in an inbox with four hundred others. Somebody fills it out on a Friday night, you see it Monday, and by Monday they have already hired someone who replied Friday night. The site did its job, technically. It just had a job that ends at the moment of interest, which is the exact moment the work should start. ## What an asset does instead - Captures every inquiry into a system, not an inbox, so nothing depends on someone noticing an email. - Stores the contact as a record you own, with the source, the request, and the timeline attached. - Activates it immediately: an instant reply, a booking link, a follow-up sequence that runs whether or not you are awake. - Reports back on which pages, which offers, and which channels actually produce customers. > A brochure resets to zero every night. An asset is worth more in month twelve than it was in month one. ## The ownership question nobody asks If your leads live on a social platform, in a form vendor's dashboard, or in an inbox, you are renting your customer list. Rent goes up, and platforms change the rules without asking. A contact record in a CRM you control is the difference between an audience you can reach on purpose and one you can only hope reaches you. ## How to tell which one you have Three questions, honestly answered: - If someone inquires at 11pm Saturday, what happens in the next five minutes, really? - Can you export every lead from the last twelve months, with source and outcome, in under ten minutes? - Do you know which page produced your last five paying customers? Three no's means you have a brochure. That is not a design problem, and redesigning it will not fix it, because a prettier brochure is still a brochure. What is missing is the plumbing underneath: capture, storage, activation, and reporting, wired together so the site keeps working on the nights you do not.
